Being an admin takes a specific set of soft skills to be effective, says Sharon Tsao, HR expert and principal at Contemporary Staffing Solutions. Not everyone possesses these skills, but those who do can have a great career ahead of them.

• Abundant curiosity and research expertise. A top-notch assistant keeps up-to-date on the company, the industry and the world, can brief the boss and offer connections between ideas and people.
• Meticulous attention to detail and deadlines. A good admin notices everything, makes sure things are done correctly and done on time. He also has to be great at prioritizing—particularly when it comes to his boss’s schedule. It’s the assistant’s job to make sure the boss balances work and life commitments.
• Prudent resourcefulness. Top assistants don’t need detailed, step-by-step instructions to get things done. They combine common sense and initiative to take the information they’re given and do what needs to be done well.
• Active listening. A great assistant listens to what’s required, processes this information and asks questions if she has any to make sure her understanding is perfect.
• Flexibility and patience. The assistant is the first meeting point for many who want to interact with the boss. Whether this is on the phone or in person, it’s the assistant’s job to build rapport with a multitude of individuals.
•skills. First-class assistants need to understand priorities to help their bosses get everything done in a reasonable amount of time.
• Projectskills. Break down big goals into smaller tasks. Superior assistants stay on track doing little things to accomplish their goals on schedule.
