Everyone, have you checked the white papers in this website? There are a couple pretty good checklists offered by the Admin Professionals; go back to the home page and click on “White Papers” on the left side of the home page. You’ll see a list of white papers; the event checklist is near the top and the meetings checklist is a bit farther down.

I can email you an Excel (2003) spreadsheet which has all the things that should be thought of when scheduling a big event. The spreadsheet looks very simple and small but has hidden rows that contain most used details. When opening the file, you will first see the basic tasks. Then you can unhide those parts needed for your event and even add more as they come up. The system is simple and straigth forward en will help you and others to plan, check, and see what has been done and still needs to be done. We have used this many times over and it works great.
We had a company meeting in August and one recently in February for over 100 people. The meeting in August had people flying in from all over the world. I made myself a checklist starting with the venue. It included everything needed for the meeting from food, beverages, supplies, Visas, AV, hotel accommodations, gift bags for the out of town guests, transportation, costs, starting times, etc.
A checklist is a must for any meeting, especially one with over 100 people attending.
I would imagine you have already selected your venue and met with the venue’s banquet manager. That is a must and helps you to understand what they can provide and what they can do for conference.
