Any system to track performance appraisals?

Question: “I need to set up a scheduling/tracking calendar for conducting performance appraisals, so I’ll know when each employee’s appraisal is due. Any ideas?” —Anonymous

I use the calendar ticklers on outlook to track mine. The tickler for each month is set at the first of the month. I then have a list of who is due for a performance evaluation and that person's supervisor. I use the list to prepare neded forms for the evaluation and send them via email. This has really kept me on track. The one key is to delete the ones who are gone and add the new folks on a timely basis.

Our company has gone to evaulations in October for ALL employees each year. But before we moved to this scheduled time, I tracked evaulation information in Excel, and had a reminder on my calendar set up to alert me (Outlook) at the beginning each month to send out emails to the managers re: which employees were due for upcoming evals within the next 2 months. I also had a reminder set for the week prior to the end of the month to go back and place a reminder email to any managers that had outstanding evals that I had not yet received from them. Simple process that worked for me. I guess it depends on how exactly you need the program to work for you. Hope this helps!

I also use Outlook to remind me when the evaluations are required. But I also use the "notes" in Outlook - a note for each employee - I note items pertaining to their evaluation (good or bad)which helps me to prepare their evaluations quicker.

Ditto Outlook

Our company does it for all employees at the same time. We have quarterly, mid year reviews and end of year. Everything is done electronically. Each employee gets to evaluate themselves as well. I work for a very large pharmaceutical company and it appears to me they got a good hold on this process. Everyone in the company gets their bonus and raises at the same time every year.

The first time our company decided to be more organized about this issue, they decided that July would be a time for all reviews. For those that had already passed their review time, they were paid retroactive for that year and was informed that in the future all reviews would be held in the Month of July across the border. It has now been 5 years and has worked well for all involved. Implement a policy and stick to it.
