Any good executive assistant job descriptions?

Question: I’m looking for sample job descriptions for an executive assistant to the President/CEO.  Any ideas where to look? — Frannee Johnson


I was looking for one a few years ago and all I did was search Google for "executive assistant job description" and several came up. I can't think of a particular site that had any one better than another. You would have to modify it to suit your own position of course, but I'm sure there are hundreds to choose from. I suggest going to job/career websites for an executive assistant to the President/CEO job description. Job openings for these types of positions generally list the requirements, education and experience required. This should give you an idea of what to put in the job description. Try looking in www.monster.com or www.careerbuilder.com.


The Executive Assistant is a seasoned professional who combines an overall understanding of an Executive's day-to-day responsibilities while working with minimal supervision, exercising independent judgment and maintaining confidentiality. The Executive Assistant understands the requirement for flexibility and accommodates shifting priorities while representing and supporting the Executive in planning, directing, managing and coordinating the Corporation's views and interests.


Support the Executive in planning, directing, managing and coordinating day-to-day business activities

Serve as point of contact for corporate staff and clients

Facilitate the Executive's accessibility and open lines of communication with staff

Maintain Executive's calendar, screen incoming telephone calls and greet visitors

Coordinate meeting and conference schedules

Develop and maintain contact list for Executive's business engagements

Answer/screen telephone calls, arrange conference calls, manage call back list

Read and route incoming mail, prepare e-mail and correspondence as needed

Compose and format documentation including letters, briefing books, communications to staff and staff meeting Minutes

Initiate travel arrangements, create detailed itineraries

Plan and manage events

Serve as team leader for co-located and off site administrative assistants

Coordinate a variety of resources, obtain information for special projects

Create presentations and create and maintain spreadsheets and databases

Maintain issue-specific files

Prepare, review and track invoices and expense reports

Purchase and maintain supplies and material

I'd be happy to share my position description. I've been an executive assistant (to the CEO and Board of Directors) at my company for 12+ years and my job has "morphed" several times.

I actually worked on a project at the State of CA writing an Exec Assistant job description. What you can do is go to www.spb.ca.gov and look at every single duty statement for every position available in the State. There are all kinds of different jobs out there, so this may be really helpful to you.

As a previous Executive Assistant to a CEO, most hospitals employ this position. That would be a great place to start.
